I was excited to drive an electric vehicle (EV) for the first time.

We had a great time and the next day I had to recharge before we headed back. We discovered how inconvenient this was with only one charging location in the town. They were also “level two” chargers, which meant we sat for several hours just to get enough miles to make it back to Sante Fe. While this was only a minor setback for us, it opened my eyes to the rapid progression of EVs, and the obstacles the auto industry faces. 

Building a sustainable infrastructure is a huge issue. Add to this the recent legislation and supplier bottlenecks, and no wonder the industry hasn’t been able to meet its net-zero emissions goals.

The 2022 Inflation Reduction Act provided billions in incentives for consumers to buy EVs. This spiked demand and intensified pressure on automotive manufacturers to increase production of EVs to match demand – further creating a scramble to build U.S. factories.

Auto industry suppliers have also been forced to develop and invest in technology and manufacturing necessary to support the rapid growth. Take all of this and then throw in the continuous threat of auto worker strikes. One common challenge OEM manufacturers and other suppliers face is the movement of parts and equipment. This calls for a reliable expedite transportation partner. 

Let’s look at the bigger picture

The global automotive market is predicted to grow from 2022 to 2030 at a substantial growth rate of around 6.9%. In both instances, update your routing guide so these in-between shipments go expedited, ensuring that you can tailor the equipment to the size of the shipment.

All too frequently, expedited shipments are made at the discretion of the load planner, plant manager, customer service rep, or sales leader at a manufacturing facility. Most of the time, it’s not a strategic decision, but one that is done piece-meal using the company’s standard pool of carriers.

The person handling the load shouldn’t be the one making these decisions. Instead, there should be a standard operating process, using a corporate-approved expedited company, that is clearly communicated to relevant personnel. This selection should be made at the executive level, by the head of procurement or supply chain or even a company’s CFO.

3. Choose your provider wisely 

Don’t make the mistake of assuming that every carrier knows how to manage expedited shipments. Many reputable carriers that do a fine job with TL and LTL shipments have limited expedited experience. Look for a specialized provider that offers the following:

Last month I was looking forward to a little R&R in Marco Beach, Florida. Equipped with my flip flops and suntan lotion, I arrived at my gate early. Twenty minutes before my flight is supposed to leave we start hearing about “delays due to mechanical problems.” I waited patiently along with 50+ fellow passengers — hopeful they’d get the replacement parts.

Behind the scenes, the airline team was struggling to find the best solution to get the aircraft up and running, or replace the aircraft with one that would pass inspection.

After another two hours the flight was canceled and we’re all left scrambling to find other ways to get there.

Luckily, I caught another flight – 3 hours later; arranged a car rental, and ended up 14 hours late (and an extra $500) by the time I arrived at my hotel. And I was the lucky one. Most of my fellow passengers ended up going home.

Unfortunately, this scenario is all too common in an industry impacted by weather, vigorous safety precautions, and chain reactions that occur due to any number of mechanical issues.

According to the Bureau of Transportation Statistics, about 20% of domestic commercial flights experience some form of delay. Mechanical problems can be as little as a “light is out” or a “tire tread is worn.” If a replacement part is not handy or needs to be shipped, it impacts everyone.

Last month I was looking forward to a little R&R in Marco Beach, Florida. Equipped with my flip flops and suntan lotion, I arrived at my gate early. Twenty minutes before my flight is supposed to leave we start hearing about “delays due to mechanical problems.” I waited patiently along with 50+ fellow passengers — hopeful they’d get the replacement parts.

Behind the scenes, the airline team was struggling to find the best solution to get the aircraft up and running, or replace the aircraft with one that would pass inspection.

After another two hours the flight was canceled and we’re all left scrambling to find other ways to get there.

Luckily, I caught another flight – 3 hours later; arranged a car rental, and ended up 14 hours late (and an extra $500) by the time I arrived at my hotel. And I was the lucky one. Most of my fellow passengers ended up going home.

Unfortunately, this scenario is all too common in an industry impacted by weather, vigorous safety precautions, and chain reactions that occur due to any number of mechanical issues.

According to the Bureau of Transportation Statistics, about 20% of domestic commercial flights experience some form of delay. Mechanical problems can be as little as a “light is out” or a “tire tread is worn.” If a replacement part is not handy or needs to be shipped, it impacts everyone.

NPR recently reported that congressional investigators found that an increase in flight cancellations as travel recovered from the pandemic was due mostly to factors that airlines controlled, including cancellations for maintenance issues or lack of a crew.

Multiple sources report the estimated cost of disruption to airlines is between 5-8% of airline revenue; and as much as $60 billion worldwide. Add to that, the negative impact on an airline’s reputation.

How Airlines Can Save Billions of Dollars

Now is the time for these companies to focus on the back end of their operations, and consider an alternative expedited shipping strategy in their standard operating procedures (SOP). It’s important to have a logistics partner that understands how to handle “Aircraft On Ground” situations with faster, efficient solutions, paired with excellent communication.

Not to mention, working with someone who has the appropriate certifications in place to safely and legally handle an airline’s freight.

A good expedite partner should have a team that is experienced and equipped with the tools and resources to provide multiple solutions for any given situation. Access to different modes of equipment and transportation is crucial.

These are all qualities that should be carefully evaluated during the discovery and onboarding phases with a new expedite vendor. Depending on the location, ground, air, and ocean freight could be considered. Many forms require special permits, certifications, licenses, etc.

Here are five tips to anticipate and save millions of dollars with an expedited strategy:

  1. Negotiate strategic pricing in advance – Expedited shipping tends to operate within a “buddy-buddy” network. “Jim did a good job for us before. I know, he’s expensive, but we’ll just use him again.” Would you operate any other part of your business this way? Not likely. You would cultivate a relationship, nurture it, feed it, and negotiate long-term, strategic pricing.
  2. Communicate and collaborate – Be up front in your planning and forecasting schedule, so your expedited carrier can advise you on best options to meet your needs.
  3. Keep accurate data – Correct inventory and product demand data enables critical discussions with your expedite partner about supplies and customers’ needs.
  4. Work with an experienced provider – A shipping company that focuses exclusively on expedited freight, has multiple escalation contacts, and a solid industry reputation assures you that your urgent shipments are delivered on time. Know your capacity and let your provider access and elevate the best options for your freight.
  5. Remember…price is not everything – Evaluate the many criteria other than cost that affect your decisions, and be open-minded about all the possible solutions to your specific expedited transport challenges.

The key to partnering with an expedite carrier is having open and ongoing communication to anticipate problems, so that when the unexpected happens, both parties know how to execute efficiently. The bottom line is that incorporating an expedite strategy can save the aerospace industry billions of dollars in lost time, labor impact, mechanical errors and passenger chaos.

Among the most important tools that shippers and their partners employ to contend with unplanned challenges is expedited shipping, which provides accelerated delivery speeds for situations when products or materials need to arrive as quickly as possible.

Expedited shipping is a critical component of the supply chain, helping to ensure that shelves are stocked on time and missing materials don’t cause production shutdowns at manufacturing plants.

“It would be great if everything always ran smoothly, and we could just send shipments to dedicated carriers without any issues, but we all know that’s never the case,” says Konrad Warzycha, vice president of solutions for Ohio-based EASE Logistics.

Expedited is a smart solution for dealing with unexpected issues—and it can also play a strategic role in a shipper’s overall transportation plan. Here are nine key tips for effectively navigating the world of expedited shipping.

1. Emphasize Education

It may seem obvious, but shippers who use expedited shipping should understand the service and all of its parameters.

“If expedited shipping is a long-term need for a shipper, I suggest they learn as much about it as possible,” says Liz Wayne, owner and president of Able Transport Solutions in Omaha. A good expedited provider takes the time to educate clients on “how our world works” so they can make the best decisions for their business, she adds. “They may be able to set the table with their customers, so to speak, preparing them for what to expect as well as market changes,” Wayne says.

To start, shippers should have a clear understanding of what “guaranteed” or “expedited” services entail.

“Many people don’t understand how loosely standard LTL servicers often use these terms,” says Chris Bland, Co-CEO, First Call Logistics, based in Indianapolis. “Often those shipments still follow the hub-and-spoke model, which is different from true expedited shipping.

“Since COVID, we’ve seen a drastic increase in customers asking us to rescue shipments trapped at various terminals,” he adds.

2. Ask: Why Expedite? And Why Now?

When considering expedited shipping, it’s useful to ask about the impact of not opting for it.

“Shippers should ask questions such as: Do we need to get the product on the shelf? Do we need to get this part there for production?” Warzycha says.

Shippers in the automotive industry, for example, are highly motivated to avoid an auto-line shutdown. For them, avoiding a production halt is a top priority. “If you get into that type of situation, whatever the cost is to expedite, you have to pay it,” Warzycha explains.

For packaged-goods shippers, however, the case for expedited may not be as clear.

“If you’re losing out on $5,000 in sales and you have to pay $8,000 to get the shipment there, many shippers will choose to hold off on expedited and give up the $5,000 in sales because they don’t want to take a $3,000 loss,” Warzycha says. “It’s important to ask: Why does it need to be expedited? And what are the other options?”

Sometimes a few hours can make a large difference in cost—if you can afford to wait.

“Sometimes you have to pay a higher cost, but you also want to evaluate: Do I need this move now? When is the best time to buy?” Warzycha says. “Should I buy a truck or a trailer carrier tomorrow morning, as opposed to 10 p.m. or midnight tonight? We often suggest doing that because you’re able to buy a lot better.”

The longer transit times associated with standard shipping put additional risk into a supply chain, increasing the threat of an out-of-stock situation or even a plant shutdown.

The speed of expedited shipping mitigates that risk. Often, shippers determine that the longer transit time at a cheaper rate isn’t worth the risk associated with the consequences of a shipment failing to arrive on time. “That can be a tough evaluation to make,” says Eddie Sorg, chief operating officer, asset-light for Arkansas-based ArcBest.

She also advises shippers not to overbuy: “When asked when you—or your customer—need delivery, a reply of ‘ASAP’ could be taken literally and potentially double your transportation costs.”

Similarly, shippers should make sure their service provider is looking for opportunities to match their freight with other freight to save significant costs.

“When you purchase transportation, the price will be determined by a combination of the trailer space/capacity and transit-time constraints,” Wayne says. “With those things in mind, don’t limit the service provider unnecessarily, as it will cause you to overbuy and potentially pay for a service you did not need.”
